This privacy policy (“Policy”) details our practices for handling your Personal Information through the Services (both defined below). Throughout this Policy, “Sumeet”, “we” or “us” refers to Sumeet.pro, a company registered in Miami, FL with its registered address as Sumeet Inc, 1915 NE 117th RD, North Miami, FL 33181. As per applicable privacy laws, we are the data controller.

For the purpose of this Policy, “Personal Information” refers to any information relating to an identified or identifiable individual. This includes Personal Information you provide or generate when you use: (a) Our Sumeet meeting assistant app (the “App”); and (b), https://sumeet.pro/, and any other dedicated Sumeet.pro websites (the “Website”) (collectively, the “Services”). When you use our Services, you accept and understand that we collect, process, use, and store your Personal Information as described within this Policy.

Do not use any of the Services unless you agree with this Policy. In case you change your mind in the future, you must stop using the Services. You may exercise your rights over your Personal Information as laid out in this Policy.

1. INFORMATION WE COLLECT

As the data controller, we will collect and use the following Personal Information about you:

Information you provide to us

  • Registration Information. Your name, email address, password, and a profile picture (optional) that you will share with us when creating an account to access our Services. For paid plans, our payment processing partner could collect your personal information, such as name, billing address, and payment information. This payment information will not be shared with us, and is the sole responsibility of the payment processing partner. 
  • App Information. You may provide us access to your audio recordings (hereby referred to as “Audio Recordings”) which get generated while you use our Services. In addition, you may also give us access to text, images, or videos you upload while using our services.
  • Communication Information. You provide your communication information, such as your phone number and/or email address when you contact us. In addition, the query you share also forms a part of the information you share with us. 

Information you provide to us about others

  • You may provide us email addresses and contact information for your co-workers or friends when you collaborate with them using our Services. You also share their contact information when you refer them to use our Services. 
  • Audio Recordings you share with us may contain Personal Information of third parties. Please ensure that you have the necessary permissions from your co-workers, friends, or other third parties before sharing their Personal Information with us via Audio Recordings, referral, or collaboration. 

Information we collect automatically or is generated as you use the Services

  • Usage Information: When using our Services, your account generates information such as how you use Sumeet, such as timestamps, access, record, share, edit and delete recorded events, how you use our App, how you interact with our team, and your transaction records. 
  • Device Information: We assign each mobile device that accesses our Services a unique user identifier (UUID). You provide information such as your IP address, UUIDs, device IDs, web beacons, carrier type, device type, device model, brand, web browser, and operating system, when you use the Services. 
  • Cookies: We elevate your experience with our app through the use of Cookies and similar technologies (Cookies) as you use our Service. Learn more about our policy on Cookies in the following sections. 

Information we obtain about you from third parties.

  • Information we receive from third party platforms: We receive access to your Personal Information such as your username, profile picture, email address, time, location, calendar information, contact information, and any other information you share via third-party platforms, apps, or providers when you connect them to our Service. Examples include Google Calendar, iCal, other calendar programs, Google Contacts, your Google or Microsoft account, etc. This information is referred to as Platform Information. 
  • Information from platforms used by our Services: Our payment processor shares your transaction details with us when you make a payment to access our Service. 
  • Other third parties. We may also receive additional information about you from third parties, including demographic/interest attributes. Such information could also be provided by our marketing partners and could be combined with other information you provide to us. 

We collect and use aggregated data, including statistical or demographic data, for our internal purposes. This data may be derived from your Personal Information. However, do note that such data does not get classified as Personal Information as it cannot reveal your identity in any form. If we combine this aggregated data with your Personal Information in a manner that could identify you, we would consider this combined data as Personal Information and it will be covered by this Privacy Policy. 

2. HOW WE USE YOUR PERSONAL INFORMATION

We use your Personal Information to:

  • Set up your account. When we set up an account you create to access our Services, we require your registration information, device information, and any third party information you provide access to by connecting their services with ours. These include your username and email address. This information is used in accordance with our contractual and precontractual obligations to you and lets us provide you with an account to access our Services. 
  • Provide you with the Services. As we begin providing you our Services, we access and use your Audio Recordings, usage information, and platform information. We also access your communication information in the event of providing support such as password reset. This is also undertaken based on our contractual obligations to provide you our Service. 
  • Improve and monitor the Services. We use information that gets automatically collected or generated as you use our Services, and non-personal information such as device data, e.g., device manufacturer, model and operating system, free space on your device. This information is used to help us improve our Service. Our proprietary, artificial intelligence technology receives training on aggregated, de-identified Audio Recordings. We require your explicit permission to manually review specific audio recordings in case we use them to enhance our model training data. 
  • Communicate with you. If you contact us, we will use the contact information you provide and, if applicable, your usage information. We will use this data to assist you with your query on how to use our Services and address any concerns you may have. 
  • Update you with product news or developments of interest to you with newsletters. We will send you email newsletters to update you with news and upgrades regarding our Services. We will process your email address, name, and possibly, your usage information to deliver customized updates to you. You may withdraw the consent you have given us to do so anytime via the unsubscribe button located at the bottom of such email communication. 
  • Prevent fraud, defend Sumeet against legal claims or disputes, enforce our terms and to comply with our legal obligations. As a business entity, we are required to protect our interests. This involves (1) monitoring the use of our Services towards fraud detection and any other potential user behavior that could compromise the integrity of our Services, (2) undertaking action to counter any aforementioned instances of fraud and behavior, (3) defending ourselves against legal claims/disputes, and (4) enforcing our terms and policies. Performing these actions requires us to process Personal Information relating to each case. This could include information you provide to us, information we automatically collect about you and your usage, and any other information we receive from our third parties. 

3. HOW WE USE COOKIES AND SIMILAR TECHNOLOGIES

We and the third party platforms we associate with use Cookies, pixel tags, and other similar technologies to collect and analyze information about your usage and online activities. This enables us to distinguish you from other users of our Services and offer you a customized experience. They also help us improve our quality of service and monitor and improve our advertising effectiveness.

    • Cloud service providers who offer us compute storage and data storage, e.g. Open AI, and are based in the United States. 
    • Analytics providers who help us with analytics, segmentation and mobile measurement tools and enable us to better understand our user base.     • Integrated third-party providers, apps or platforms, such as Google Calendar. You authorize the sharing of designated data created and/or uploaded to our servers with the third-party platforms or services you connect to Sumeet. Please note that in such instances, we are not responsible for the content management, privacy and security policies followed by these third party providers. You can learn about their privacy and security practices before authorizing connections between them and our Service. 
    • Payment processors, such as Stripe, who process your Personal Information when you use them to make payments for purchasing our Services. They may use your Personal Information for their own purposes on the basis of their respective privacy policies. You can learn more about their privacy policies on their respective websites. 
  • Law enforcement agencies, public authorities, or judicial bodies and organizations. We are legally required to share/disclose Personal Information with such bodies. We may also need to do so if we have good faith belief that their requests are reasonably necessary for complying with legal obligations, processes or requests. This is also required in order to enforce our terms of service and other agreements, policies, and standards. They include investigation of potential violation, detection or prevention of security, fraud of technical concerns, protection of our rights, property or safety and that of our users, third parties or the public as required or permitted by law. We may also need to exchange information with other companies and organizations for the purposes of fraud protection.
  • Change of corporate ownership. We may have a responsibility to disclose your Personal Information in the event of a merger, acquisition, bankruptcy, reorganization, partnership, asset sale, or other transaction.

We store all Personal Information for as long as necessary so that we may fulfill all purposes laid out in this Policy, or for as long as we are legally required to do for purposes of regulatory compliance. When it is time to delete Personal Information, we will follow procedures that will render this data irrecoverable or irreproducible, by permanently deleting the electronic files which contain Personal Information.

  • Object to processing. You have the right to object to our Service processing your Personal Information if we rely on a legitimate interest or if we process your Personal Information for direct marketing purposes.

Please note that our Service and Website are not aimed for use by children, and as a result, we do not knowingly collect Personal Information from children aged under 13 years. However, transferring Personal Information through the internet will have its own inherent risks and, as such, we do not guarantee the security of your data transmitted through the internet. You make any such transfer at your own risk.

Our Website and Service may provide features or links to third party websites and services. Any information you provide on such Apps, third-party websites or services is provided directly to the operators of such websites or services, and is subject to their policies governing privacy and security, even if accessed through our Website or in connection with our Service.

10. CROSS-BORDER DATA TRANSFERS

As part of our global operational requirements, Sumeet may transfer, store and process your operations with our partners and service providers based outside of the country you are located in. Laws in those countries may differ from the laws applicable to your country of residence. If we transfer, store and process your Personal Information outside of the EEA or the UK, we will have appropriate safeguards in place to ensure an adequate level of protection, for instance, through acceding to the Standard Contractual Clauses.
